Step-by-Step Instructions for Importing Contact Records from
ACT! 2000 - 2004 (versions 5-6)
ACT! 2005 - 2008 (versions 7-10)
to the
SendOutCards
Contact Management System

Instructions for ACT 2000 - 2004 (versions 5 & 6)
- Log into ACT 2000 (version 6.0) and go to pull-down menu for LOOKUP. Look up ALL CONTACTS.
- Select CONTACT LIST from your toolbar (could be on bottom or left side of main screen – look for larger icons).
- Select Tag Mode from the pull-down menu directly below where it shows the number of people in your lookup. Click on LOOKUP TAGGED (to the right of where you found the pull-down menu for Tag Mode).
- Go to File and select DATA EXCHANGE. Select EXPORT.
- For File Type, choose TEXT DELIMITED.
- For File Name & Location, save it to your Desktop and name the file with the extension “txt”. (Example: ACT Selected Database.txt). Click NEXT.
- Choose Contact Records Only. Click on Options and be sure both “Tab” and “Yes, export field names” are selected. Click on OK.
- Click Next and select Current Lookup. Click Finish.
- Log in to your SendOutCards account.
- From the Card Manager Main Menu, click on Import Contacts.
- Click on Browse and find the export file you just created from ACT! (on your Desktop). Once you have highlighted that file, click on Open and you should see the file path appear next to the screen where the Browse button is.
- Click Upload File.
- Map to the file whichever fields you want copied over.
- Create a profile name like “ACT upload” so you can use the mapping again in the future. Look at the few sample records at the bottom of the screen (shows up to 5). Is all of the data lining up? If not, your mapping is off.
- Select “Import Entire File”. The “Import without previewing” box should be checked unless you want to preview each record for editing before it is uploaded.
Note:
- If you already have a contact in SendOutCards that you are trying to upload again, it will just bypass it. If you need to update any information, you will have to do it manually.
- If in ACT! you stored both the husband and wife’s name in the First Name field (like Doug & Kathy), sometimes it will only upload the first name. You will have to add ‘& Kathy ’ into SendOutCards manually if it is not as you like it.
Instructions for ACT 2005 - 2008 (versions 7-10)
- Log into ACT! 2005 and do a Lookup of all the Contacts you want to bring into SendOutCards. (LOOKUP, what criteria you want). See ACT! documentation for how to perform lookups. If you want all of your ACT! contacts in SendOutCards, select All Contacts.
- On the FILE menu select EXPORT.
- For ‘What type of file do you want to export to?’, select TEXT DELIMITED from the drop down list.
- For File Name & Location, save it to your Desktop and enter a meaningful filename, such as ACT Export. It will default to Files of Type as Text files (*.txt), which is what you want. Click OPEN. Then click NEXT.
- In ‘What kind of records do you want to export?’, choose CONTACT RECORDS (should be the default). For ‘Which records do you want to export?’, choose CURRENT LOOKUP. Then click NEXT.
- For ‘Select Field Separators’, choose TAB. For ‘Do you want to export field names?’, click the box for YES, EXPORT FIELD NAMES. Then click NEXT.
- On Contact Map window, click NEXT. You do not need to mess with any of this!
- Click FINISH. ACT! exports your data to the file on your desktop.
- Log in to your SendOutCards account.
- From the Card Manager Main Menu, click on Import Contacts.
- Click on BROWSE and find the export file you just created from ACT! (on your Desktop). Once you have highlighted that file, click on Open and you should see the file path appear next to the screen where the Browse button is.
- Click UPLOAD FILE.
- On the ‘Review and Update the Details of the File Below’ screen, map the fields you want imported from your ACT! list. The only ones that might not be obvious are First Name = First Name -1-, Last Name = Last Name -1- and Work Phone = Phone.
Enter a profile name like “ACT upload” so you can use the mapping again in the future. Click UPDATE PROFILE.
- Look at the few sample records at the bottom of the screen (shows up to 5). Is all of the data lining up? If not, your mapping is off. If your mapping is off, then fix the mapping at the top of the screen and click UPDATE PROFILE again.
- Click IMPORT ENTIRE FILE. The “Import without previewing” box should be checked unless you want to preview each record for editing before it is uploaded.
